The Legal & HR Vault for Malaysian employers

You Hired People. Nobody Handed You the Employer's Manual.

The Legal & HR Vault is a fixed-scope legal service for Malaysian employers. Under a written engagement, we give your owner and HR or admin team the standard procedures, briefings and documents for everyday employment matters.

We act for employers only. We never act for employees.

  • Five modules for hiring, rules, discipline, performance and exits
  • The owner makes the decision. HR or admin follows the sequence and prepares the paperwork
  • Every staff-facing document written in English and Bahasa Melayu
  • Written by Chua Yi Xie, a practising Malaysian advocate

Search "Chua Yi Xie" under Lawyer, or "Yi Xie & Co." under Firm. Verify the Malaysian Bar listing →

The schedule usually arrives within a few minutes. We will not phone you unless you ask.
Asking for the schedule does not make you a client. Access begins only after our conflict check, AMLA steps and signed Letter of Engagement. See the engagement steps →

Decide in two minutes

What You Get. Where It Stops.

You do not have to read everything. Open tonight's problem, read the briefing, then use the document that follows.

Inside the Vault

  • Guides, checklists, letters and house rules across five modules
  • Every staff-facing document in English and Bahasa Melayu
  • The standard full-time employment contract you adapt
  • One written Vault-use question a week for 12 months from access

The statutory terms are correct in both languages. Module 5 is English only because it is written for the boss and is never handed to staff.

Where Standard Material Stops

Module 2's house rules are written for a standard office. A kitchen, outlet, workshop, factory floor or clinic may need rules written for the operation. The other four modules cover hiring, discipline, performance and exits across industries.

The standard full-time contract is in the Vault. A Setup covers straightforward full-time or part-time contracts for up to three role types. Fixed-term, commission, executive, foreign-worker and complex shift roles are drafted for the role.

What Does the Limited Engagement Cover?

One written question a week by email about choosing, understanding or using the Vault documents. We reply within two to three business days. No rollover, emergency channel or WhatsApp support. This lasts 12 months from the date access is issued. You keep the supplied documents afterwards. Support then expires unless renewed. We offer renewal, but never renew or charge automatically. Keeping the documents is a separate thing from continuing portal access and future updates. The private schedule and the Letter of Engagement state those terms before you commit.

We can explain how to fill in a document. Writing it for you, reviewing your evidence or guiding a live staff matter is separate work. We agree that scope and fee in writing before starting.

Can somebody still file a claim?

Yes. Following the right process cannot stop an employee from filing. If the matter needs advocacy, we work alongside a separate firm that handles that stage. We may remain on the employment analysis within our own engagement.

If a specific employee is already on your mind, bring that problem to a consultation. The Vault is for the repeatable process.

The method

See the Checklist Before the Letter.

Anyone can download a warning letter. The Vault starts with the twenty minutes of checking that must happen first. The briefing tells you when to use the document, what to check and when to stop and call.

The English or BM document comes after that.

How Access Works

  1. Ask for the private fee schedule.
  2. Reply if you want to proceed. We run the conflict check.
  3. We send you a written quote.
  4. If you accept, you complete verification and sign the Letter of Engagement.
  5. You pay and we issue access.

Nothing starts and no access goes out before the signed letter comes back.

See all five modules
  1. Safe Hiring & Probation. Hiring records and probation paperwork.
  2. Company House Rules. Baseline policies for a standard office.
  3. Warnings & Discipline. Checklists, procedures and letters.
  4. Improvement & Peaceful Exits. Performance and exit documents.
  5. The Boss's Strategy Guides. English-only guides for the person making the decisions.
Find Your Problem: Eleven Situations Covered

These are the questions the material helps you work through. You do not have to read every part before you start.

  • My staff has been missing three days. Can I clear his desk?
  • My probationer is not working out and his three months is nearly up.
  • Two of my staff had a fistfight in the office. Can I fire them on the spot?
  • He crashed the company van. Can I take it out of his salary?
  • He sent me an MC over WhatsApp again. Can I reject it?
  • I need a senior person out and I do not have three months for a PIP.
  • I am hiring properly for the first time and I do not know what I am signing up for.
  • I am not confident I am paying EPF, SOCSO and overtime correctly.
  • My rules live in my head. Nobody has ever been given them in writing.
  • My best people are carrying everybody else and I can feel them getting tired.
  • I want this place to run properly when I am not standing in it.

The free staff problem checker helps you find a starting point. It does not assess your evidence or decide what action you can take.

Common Questions

How long before I can actually use it?

The fee schedule usually reaches you within a few minutes of asking. After that most of the clock is yours. We cannot issue access until the conflict check clears, your company verification documents come back and the signed Letter of Engagement returns.

Once access is issued there is nothing to install and nothing to schedule. Open the problem you have tonight, read the briefing, use the document that follows. You do not have to read the rest.

Is it just for me, or can my HR person use it too?

The Letter of Engagement names the company and the people who may use the Vault internally. That can include the owner, HR team, administration staff and relevant line managers.

It remains a baseline. It does not replace company-specific policies or advice, and it cannot be resold or passed to another company.

What happens when the law changes?

Employment law moves and documents go stale. The private schedule and the Letter of Engagement state exactly which updates your access includes, and you read both before you pay anything.

What you can check today is who is behind the material. Most template sites do not tell you who wrote them, so there is nobody to ask and nothing to verify. Search "Chua Yi Xie" under Lawyer, or "Yi Xie & Co." under Firm.

Do I need to speak to a lawyer every time I use it?

No. The Vault is a legal service, but the standard material is written for a boss and the person preparing the paperwork. The checklist comes before the template so your team can handle the common sequence without calling us at every step.

Where you do need one, the document says so on its face rather than leaving you to work it out. Senior people, anything already at the Labour Office, and anything where the employee has come back with a complicated medical explanation.

I only have four staff. Am I too small for this?

No. Under the Employment Act, most of your obligations start with your first employee, and small employers are usually the most exposed because they are the ones relying on a contract copied off the internet.

This is about your operation, not your size. Choose by the work in front of you. Use the standard documents yourself, ask us to help put them into use through The Setup, or have rules drafted for your operation.

Should I wait until something goes wrong?

Many owners do. The engagement feels easier to justify when there is a real problem on the desk. The difficulty is that a live warning, dismissal, JTK letter or employee demand may already need advice on the facts. A standard document can be too late by then.

If your budget is tight, start with the free guides and the complete working specimen. Engage us for the Vault only if the repeatable material fits problems you actually have. If something is already moving, bring that one to a consultation instead of trying to force it through a template.

And some employers do not need us at all. We keep a list of those situations and we would rather you read it first. When you do not need us →

So are you my lawyers, or not?

Yes, once the Letter of Engagement is signed. Your company becomes a client of this firm for the Vault scope stated in that letter. It is an engagement with a law firm, not a download, which is why there is a conflict check and verification in front of it.

It is also a limited engagement. It does not make us your general counsel and it does not put us on record for every employee issue. When you need the law applied to live facts, we agree that extra scope and the private fee in writing first.

How to get it

Request the Private Vault Service Fee Schedule

See the scope, access terms and engagement route before you decide.

Let us say the uncomfortable part first. This may be a serious expense for a small employer. Read the working specimen and the limits on this page before you decide. If your team will not use the procedures, do not engage us for the Vault.

The fee schedule is sent privately by email. You can read it before deciding whether you want to speak to us.

Fill in the fields below and the full schedule arrives in your inbox, usually within a few minutes. It covers the Vault service, access terms and support you can request, so you can see the whole route before you decide.

Asking for the schedule commits you to nothing and we will not phone you unless you ask. It does not make you a client. If you decide to proceed, we start with the conflict check, AMLA steps and Letter of Engagement described above.
